Hello,

We’re excited to share some updates that will make tracking mileage and managing incidentals easier for you!

Mileage Updates

Mileage is now automatically calculated as an incidental using a point-to-point system. This means you no longer need to manually add mileage to your jobs—our system will automatically calculate the distance from point A to point B and beyond. When closing out your jobs, you’ll notice that the option to add mileage manually is no longer available, so please don’t be alarmed.

Incidentals for Parking/Tolls

Receipts for parking and tolls cannot be uploaded directly into the system. Instead, please email these receipts to Charity Quinn at charity@dynamiclanguage.com for review. If applicable, she will apply the incidental for you.

Point-to-Point Mileage Clarification

To clarify how the point-to-point system calculates mileage:

  • If you have multiple appointments in one day, the system will calculate mileage from your residence to each appointment and between consecutive appointments.
  • If there is a gap of more than 2 hours (121+ minutes) between appointments, the system assumes you returned home and will calculate mileage accordingly.
  • For your final appointment of the day, mileage will include the distance from the appointment back to your residence.

Here’s an example:

  • 8 AM Appointment: Mileage from your residence to the appointment.
  • 10 AM Appointment: Mileage from the 8 AM appointment to the 10 AM appointment.
  • 12 PM Appointment: Mileage from the 10 AM appointment to the 12 PM appointment.
  • 2 PM Appointment: Mileage from the 12 PM appointment to the 2 PM appointment and from the 2 PM appointment back home (if no other appointments within 2 hours).
  • 6 PM Appointment: Mileage from your residence to the 6 PM appointment, and mileage from the 6 PM appointment back to your residence.

Important Note on Mileage for Multiple Agencies

Please note that mileage is calculated only for jobs completed with Dynamic Language. Unfortunately, we cannot incorporate or adjust mileage for jobs performed with other agencies.

What You Need to Do

You simply need to close out your jobs as usual, attach the necessary vouchers, and move on to your next appointment—no need to worry about adding mileage manually!
